As part of the opening of the French office, we are seeking an experienced Admin Assistant Intern. The position can be in the Paris or Nice area. We offer a flexible work at home environment with days of activities at our new office.


This is an internship (alternance) position (that might evolve into a CDI contract) in France. You must already be able to legally work in France.


The Position: Administrative Assistant Intern (Alternance)

Working directly with the Office Manager and CTO, you will participate to the creation and the development of the Startup for the EMEA territory.


The Role:

We are currently seeking an Admin Assistant Intern who will provide full administrative support to the Office Manager, SVP EMEA amp; CTO. This individual has the ability to demonstrate a standard of excellence, enjoys challenges and is results-driven. This role is responsible for ensuring that the time and tasks of the CTO are well organized, planned and prioritized. The Admin Assistant may work independently at times to prioritize and balance a personal workload to meet critical deadlines and target dates for assignments. We are seeking someone who is committed, reliable, professional and is able to build strong relationships with both internal and external stakeholders.

Requirements

Responsibilities:

  • Perform a wide variety of administrative support functions for the SVP EMEA (administrative, expenses, finances, recruitment, etc.)
  • Organize and maintain administrative work in relation to all international branches of the company
  • Maintaining and upholding file management, including company naming policies and conventions
  • Manage multiple complex calendars and provide meeting support to facilitate daily meetings and appointments
  • Compile, edit and finalize executive level presentations and documents
  • Proofread documents to ensure accuracy and clarity of content, in addition to ensuring branded styling, layout and format.
  • Prepare various reports, including but not limited to, financial and operational reports
  • Plan and co-ordinate offsite meetings, group, project and team events when required
  • Review incoming correspondence (regular mail and email) and sorting via issues of importance or immediate attention
  • Manage and submit expenses on behalf of the French office to the Toronto HQ
  • Assemble pertinent/background information to facilitate decision making.
  • Handle telephone inquiries in a professional, helpful manner. Screen and route inquiries appropriately
  • Additional responsibilities may include: assist with internal/external communications, support Exec meetings through planning/logistics/communication

Requirements and Qualifications:

  • Completion of a University Degree or equivalent experience
  • 1 years as an Administrative Assistant in a professional work environment
  • Previous experience working in a consulting company or with C-Level executives is an asset
  • Excellent multi-tasking skills with the ability to effectively prioritize tasks within a fast paced, deadline-oriented environment
  • Strong organizing skills with the ability to follow through to ensure that tasks and deadlines are completed
  • Strong attention to detail and demonstrated ability to provide a high level of accuracy
  • Excellent interpersonal and communication skills (written and verbal). Strong business acumen is an asset
  • Good judgment and decision-making ability, especially when dealing with clients (internal and external) at all levels
  • Self-motivated and results oriented
  • Ability to handle and maintain information with the highest degree of integrity and confidentiality
  • Proven experience working in a professional
