Job Description

Ryte Health is a "next-generation" AI-driven medical second opinion and telemedicine company. HQ in Canada and France, Ryte identifies world expert physicians addressing specific diagnoses and/or procedures, and connects them to patients and their physicians via telemedicine in virtually any region of the world. Ryte has an international development team and will operate in the Middle East, Asia, South America, and ultimately the EU and North America.


Headquartered in Toronto, we are at an early stage of our organisational and business growth. As part of the French Business Unit development, we are seeking an experienced administrative assistant. The position can be located in the area of Paris or Nice. We offer a flexible work at home environment with group meetings and sessions at our new offices.


The Position: Senior Administrative Assistant.

The Role:

This candidate has the ability to demonstrate a standard of excellence, enjoys challenges and is results-driven. This role is responsible for ensuring that the time and tasks of the CTO are well organized, planned and prioritized. The Admin Assistant may work independently at times to prioritize and balance a personal workload to meet critical deadlines and target dates for assignments. We are seeking someone who is experienced, reliable, professional and is able to build strong relationships with both internal and external stakeholders.

Responsibilities:

  • Perform a wide variety of administrative support functions for the CTO (admin, expenses, finance, recruitment, etc).
  • Organize administrative work in relation to all technology department offshore and in Canada.
  • Plan and co-ordinate offsite meetings, group, project and team events when required
  • Compile, edit and finalize executive level presentations and documents. Proofread documents to ensure accuracy and clarity of content; ensure conformity to layout and format. Prepare outgoing email and mail-outs as needed
  • Prepare various reports, including but not limited to, financial and operational reports, legal document, HR reports, etc.
  • Organise contracting documents, RFQ, RFI, licences management, etc.
  • Manage and submit expenses and PO on behalf of the French office to the Toronto HQ.
  • Review incoming correspondence (regular mail and email) and sorting via issues of importance or immediate attention.
  • Assemble pertinent/background information to facilitate decision making.
  • Handle telephone inquiries in a professional, helpful manner. Screen and route inquiries appropriately.
  • Additional responsibilities may include: assist with internal/external communications, support meetings through planning/logistics/communication.

Requirements

  • Perfectly fluent in English and French
  • Completion of a university degree or equivalent experience
  • 5+ years of experience as a Senior Admin Assistant in a professional work environment supporting C level executives
  • Previous experience working in a consulting and or healthcare company / startup is an asset
  • Excellent multi-tasking skills with the ability to effectively prioritize tasks within a fast paced, deadline-oriented environment
  • Strong organizing skills with the ability to follow through to ensure that tasks and deadlines are completed
  • Strong attention to detail and demonstrated ability to provide a high level of accuracy
  • Excellent interpersonal and communication skills (written and verbal). Strong business acumen is an asset
  • Good judgment and decision-making ability, especially when dealing with clients (internal and external) at all levels
  • Self-motivated and results oriented
  • Ability to handle and maintain information with the highest degree of integrity and confidentiality
  • Proficient in the use of Microsoft Office, including but not limited to Word, Excel, PowerPoint, amp; Teams.
